A Global structural solution provider rolls out and adopts Microsoft 365 Copilot across the organization laying a concrete foundation for its onward AI journey
The company partnered with Netwoven to accelerate Microsoft 365 Copilot adoption for 120 users to launch them into using AI for improved productivity. Within seven weeks, Netwoven delivered a roll out, adoption program and a value dashboard that helps the company to move towards becoming an AI Frontier Firm.
Challenges in Microsoft 365 Copilot Adoption
The company wanted to enable a 120 strong workforce to start utilising Microsoft 365 Copilot confidently and trigger AI adoption within the organization in a sustainable manner. The company faced common initial challenges for Copilot roll out and adoption. The challenges include:
- Fast track Copilot roll out and adoption with confidence
- Required hands-on assistance for Microsoft 365 Copilot rollout, with a focus on governance, insights, adoption, and change management
- The goal was to onboard users from all departments effectively, establish visibility into Copilot usage and value, and drive sustainable adoption
Solution to Overcome Microsoft 365 Copilot Adoption Challenges
The company has partnered with Netwoven for its established credibility in this area as well as for Partner-led Microsoft Commerce Incentives (MCI) funded program for them. This ensured program support and harnessed the best-in-class processes and structure for roll out and adoption of Microsoft 365 Copilot.
Netwoven applied its well tested methodology to execute the project within the following Copilot adoption framework.
- The engagement was delivered over a seven‑week period
- Multiple initiatives were executed in parallel to accelerate time‑to‑value
- The approach aligned with Microsoft‑recommended adoption pathways and best practices
The methodology includes the following workstreams.
Project & Engagement Management
Project and engagement management served as the steady backbone of this Copilot rollout: aligning stakeholders, shaping the project plan, coordinating workstreams, gathering requirements and use cases from all important business groups, maintaining IT and executive readouts, and guiding the engagement through kick-off, milestones, governance, and closure with clear ownership and decision paths.
Copilot Insights and Analytics
Copilot Insights and Analytics acted as the project’s compass, turning usage data into a clear benchmark of adoption, value, and opportunity. It included validating organizational data, configuring Microsoft 365 Copilot analytics and Viva Insights dashboards, enabling role and department level visibility, and building a reporting framework to track adoption, impact, and long-term optimization.
Cohort Training & Enablement
Cohort Training and Enablement was the learning heartbeat of the rollout, translating Copilot from a new tool into daily confidence. Through role-based sessions, executive and stakeholder workshops, hands-on demos, prompt engineering, and tailored prompt libraries for the Business Groups, users were guided to practice Copilot in the flow of real work. The office hours and community support helped the learning to continue beyond formal training.
Copilot Use Cases by Department
The following table summarizes key Copilot use cases by department, limited to two high-value examples per function.
| Department | Top Copilot Use Cases |
|---|---|
| Engineering | Summarize specification-review threads and technical decisions; turn design-review meetings into action plans and follow-ups. |
| Engineering Services / PMO | Convert intake requests, transcripts, and SME input into structured project plans; surface risks, blockers, owners, dependencies, and portfolio updates. |
| Enterprise Services / Project Delivery | Summarize project emails, standups, and client meetings; draft weekly client updates and preserve project knowledge in Copilot Notebooks. |
| Operations Technology / Manufacturing | Analyze SAP and operational data to identify variances or quality issues; create work instructions, process flows, and Planner-ready action items. |
| Sales | Summarize account emails and prioritize follow-ups; create account briefings, customer-ready presentations, and meeting follow-up communications. |
| Finance | Compare actuals against forecasts and identify trends or variances; draft board content, leadership summaries, and executive financial narratives. |
| Cross Functional | Summarize emails, Teams messages, meetings, and actions; create reports, summaries, presentations, and automate recurring routines using Copilot Studio agents. |
Adoption and Change Management (ACM)
The challenge in adopting Copilot and sustaining it is human, not technical. Organizations that deploy Copilot without adequate ACM program see initial usage but struggle to sustain momentum beyond the first few weeks. Netwoven’s intensive ACM program bridges technical deployment and human adoption, ensuring that the customer realizes measurable business value. Adoption and Change Management is the human pulse of the rollout, helping Copilot become less of a launch and more of a lived habit. Through awareness communications, community activation, champion support, feedback loops, sentiment analysis, and sustained reinforcement, the ACM program guided the users from initial curiosity toward confident, measurable, and lasting adoption.
Business Impact of Microsoft 365 Copilot Adoption
Business Impact was the promise and the pathway that Copilot would become more than a tool: it would save time, improve work quality, reduce friction, strengthen decision-making, and reveal measurable value through adoption, usage, sentiment, and productivity insights. By connecting Copilot analytics, Viva Insights, role-based use cases, and feedback signals, the rollout helped the company to see where Copilot could lift everyday workflows, accelerate measurable business outcomes, and turn adoption into sustained organizational confidence.
The business impact as measured through the Viva Insights dashboard were:
- Number of training sessions delivered were18 sessions to 120 users
- 75% of users reported increased confidence with Copilot
- Estimated time savings per user per week was 60 minutes/week
- Copilot usage growth after training increased by 40% week over week
- Enrolled 15 Champions or power-user participation in the program
The dashboard would continuously report some of these metrices and it was understood that these will be monitored and improved going forward.
